This Privacy Policy explains how 1000580102 Ontario Inc., operating as BitanixSoft ("BitanixSoft," "we," "us," or "our") collects, uses, discloses, and protects information in connection with the bitanixsoft.com website (the "Site") and the Bitanix NetMan software application (the "Software").
Bitanix NetMan is designed with a local-first architecture. Project and network-management data remains on the user's system by default. Certain features may communicate with third-party systems or services when initiated by the user, as described below.
1. Information We Collect Through the Site
When you use the Site, we may collect information including:
Contact information that you voluntarily provide through a contact form, email, or other communication, such as your name, email address, and message content.
Purchase and billing information required to process licence purchases.
Basic website usage information, such as pages visited and general analytics, where collected through our hosting provider, analytics tools, cookies, or similar technologies.
Information reasonably necessary to provide customer support, respond to enquiries, administer licences, prevent abuse, and comply with legal, accounting, or tax obligations.
Payment information is processed by our third-party payment processor, Stripe. BitanixSoft does not directly store your full payment card number.
2. Bitanix NetMan Local-First Architecture
Bitanix NetMan is designed as a local-first desktop application.
Network and project information that you discover, enter, import, generate, or document using the Software is stored locally on your system by default.
Depending on the features you use, project data may include:
Network topology
Device names and hostnames
Vendor, model, and serial information
IPv4 and IPv6 addresses
MAC addresses
Interfaces and network links
VLANs and subnets
IP reservations
Device inventory
Configuration information and configuration history
Security findings and assessment results
CVE information
Knowledge Base content
Runbooks
Attachments
Operator notes
Ubuntu audit and remediation information
Handover and organizational information
Other information entered or generated as part of a NetMan project
BitanixSoft does not automatically collect, receive, or upload this project data during normal Software operation.
Your project data remains local by default. Data may leave your system when you deliberately use functionality that communicates with another system or service, including:
Connections to network devices that you choose to manage or assess
Optional AI-assisted analysis
NVD vulnerability intelligence lookups
Reports, backups, logs, or exports that you choose to share
Other user-initiated network operations
3. Local Project Storage
NetMan project information is primarily stored in local project files.
The location of saved project files is selected or controlled by the user.
The Software may also maintain local application information required for operation, such as:
Recovery and autosave information
Licence entitlement information
Trusted SSH host-key information
Non-secret application settings
Credential-profile metadata
These items remain on the local system unless the user separately chooses to transmit or share them.
4. Credentials and Secrets
Bitanix NetMan may use credentials for functionality such as SSH, SNMP, AI services, and vulnerability intelligence services.
SSH, SNMP, and supported API secrets are not stored as plaintext credentials in the normal NetMan project database.
Where supported, sensitive credential values are stored using the operating system's secure credential-storage mechanism, such as Windows Credential Manager / OS Keyring.
NetMan may separately store non-secret information required to identify credential profiles, such as profile names and profile types.
Depending on the feature being used:
SSH credentials are provided to the network device selected by the user through the SSH connection.
SNMP credentials are used to communicate with the network device selected by the user.
OpenAI API credentials are transmitted directly to OpenAI when the user initiates an applicable AI operation.
NVD API credentials, if configured, are transmitted directly to NVD when the user initiates an applicable vulnerability lookup.
Users should be aware that SNMPv2c does not provide the same confidentiality protections as modern encrypted protocols. Users are responsible for selecting protocols appropriate for their environment.
Imported configurations, terminal output, notes, attachments, or other user-provided content may themselves contain passwords, community strings, tokens, keys, or other sensitive values. Users should review such information before storing, exporting, sharing, or transmitting it.
5. AI-Assisted Features
Bitanix NetMan includes optional AI-assisted functionality.
AI analysis is not automatically performed in the background.
When the user initiates an AI analysis operation, NetMan prepares information relevant to the requested analysis. Depending on the categories selected by the user, this information may include:
Project and device information
Hostnames and device names
Vendor and model information
Device status and uptime
Management IP addresses
Interface and inventory metadata
Network topology and links
VLAN and subnet information
IP reservations
Security findings
Non-secret SSH/SNMP information
The user's question or instructions
Notes or configuration information where the applicable category has been enabled
NetMan applies structural filtering and available redaction mechanisms intended to reduce the risk of transmitting sensitive information such as passwords, API keys, tokens, SNMP secrets, private keys, credential objects, and licensing secrets.
Automated redaction is a safeguard and cannot guarantee detection of every sensitive value, particularly information embedded in vendor-specific configurations, free-form notes, terminal output, or other user-generated content.
Before transmission through the normal AI-analysis workflow, the prepared payload is presented for review and requires user confirmation.
When OpenAI is used as the AI provider, approved information and the user's API credentials are transmitted directly to OpenAI.
BitanixSoft does not receive or store a copy of the AI payload on its own servers as part of NetMan's normal AI-analysis workflow.
Users are responsible for reviewing information before transmission and for ensuring that use of third-party AI services complies with their organization's privacy, confidentiality, contractual, and security requirements.
6. NVD Vulnerability Intelligence
Bitanix NetMan may communicate with the U.S. National Vulnerability Database (NVD) when the user initiates vulnerability or CVE intelligence functionality.
Depending on the lookup being performed, NetMan may transmit information such as:
A CPE identifier; or
Vendor information
Product information
Firmware or software version information
If the user has configured an NVD API key, that API key may also be transmitted directly to NVD as part of the request.
NetMan may also provide basic application-identification information, such as its application/version information, as part of the request.
NVD lookups are used to obtain vulnerability intelligence and are not used by BitanixSoft for advertising, analytics, or user tracking.
7. Network Discovery and Device Connections
Many NetMan features are designed to communicate directly with systems selected by the user.
These may include:
Network discovery
TCP probing
Port and service scanning
SSH connections
SNMP operations
Ubuntu audits
Authorized remediation operations
TLS assessments
SSH security assessments
These communications are directed to systems or network addresses selected or configured by the user.
They are not transmissions of project data to BitanixSoft.
Users are responsible for ensuring that they own or are authorized to access, scan, assess, configure, or manage any systems targeted through the Software.
8. Licensing and Machine Code
Bitanix NetMan uses a local licensing and entitlement mechanism.
The Software may generate an installation-specific Machine Code derived through hashing of system or installation identifiers.
Depending on the operating system and available identifiers, this may be derived from system-level identifiers such as a Windows MachineGuid, Linux machine identifier, hostname, or machine/network-derived identifier.
The resulting Machine Code is used for licensing purposes.
NetMan does not automatically transmit your:
Network topology
Device inventory
Device configurations
Stored credentials
Project IP addresses
Reports
Project documentation
to BitanixSoft for licensing purposes.
The current licensing system does not require a background NetMan licensing server to receive project information.
Where a Machine Code or licence request must be provided to BitanixSoft or an authorized licence issuer, that exchange occurs separately from automatic project-data transmission.
Signed licence entitlement information is stored locally and validated by the Software.
9. Temporary Working Data and Recovery
For operational and recovery purposes, Bitanix NetMan may create temporary or recovery copies of project information on the local computer.
When a password-protected project is opened, the Software may create a temporary decrypted working copy while the project is in use.
NetMan is designed to remove temporary session data during normal cleanup and may remove stale session information during subsequent execution.
However, unexpected termination, system crashes, operating-system failures, power loss, or similar events may cause temporary working data to remain on the local system until a later cleanup operation.
Users operating in highly sensitive environments should apply appropriate endpoint security, full-disk encryption, operating-system access controls, and physical security.
10. Reports, Backups, Logs, and Exports
Bitanix NetMan allows users to generate or export information in various formats.
Depending on the feature used, exported information may include:
Device names and hostnames
Serial numbers
Management IP addresses
MAC addresses
Interface information
VLAN and subnet information
Security findings
CVE information
Audit evidence
Organizational information
Operator or assigned-user information
Contact information
Notes
Configuration information
Other selected project data
Certain reports may apply automated redaction to configuration information. Automated redaction cannot guarantee that every sensitive value will be detected.
User-generated files may include, depending on the features used:
PDF reports
JSON exports
Markdown exports
Images
Project backups
SSH session logs
External AI export packages
Other exported project information
These files remain in locations selected or controlled by the user and may not be automatically deleted by NetMan.
Users are responsible for the secure storage, retention, transmission, sharing, and deletion of exported files.
11. SSH Session Logging
SSH session logging is not enabled by default.
Where a user chooses to enable and save SSH session logging, the Software may apply redaction before saving the log.
Because automated redaction cannot identify every possible secret or sensitive value, users should review logs before storing or sharing them.
SSH session logs are stored locally at a user-selected location and are not automatically uploaded to BitanixSoft.
12. Telemetry, Analytics, and Crash Reporting
The current version of Bitanix NetMan does not include:
Advertising tracking
An analytics SDK within the desktop Software
Automatic crash-report uploads
Background usage reporting
A BitanixSoft project-data collection API
Automatic uploading of NetMan project information
If these practices materially change in a future version, this Privacy Policy will be updated as appropriate.
This section applies to the NetMan desktop Software. The BitanixSoft website may separately use standard website analytics or cookies as described elsewhere in this Policy.
13. Information We Use for Business Operations
Information that BitanixSoft legitimately receives through the Site, purchases, licensing communications, or customer-support interactions may be used:
To process and fulfil licence purchases
To administer licences
To provide customer support
To respond to enquiries
To send important notices concerning a licence, purchase, security matter, or the Software
To operate and improve the Site and our offerings
To prevent fraud or abuse
To comply with applicable legal, accounting, regulatory, and tax obligations
We do not use NetMan project data for these purposes unless you deliberately provide that information to us, for example as part of a support request.
14. Third-Party Service Providers
We rely on third parties to provide certain business and Software functionality.
Depending on the services you choose to use, these may include:
Stripe — payment processing
Microsoft — business email and applicable Microsoft infrastructure/services used by BitanixSoft
Our website hosting and infrastructure providers
OpenAI or another user-selected AI provider — optional AI-assisted functionality
U.S. National Vulnerability Database (NVD) — optional vulnerability/CVE intelligence
Third-party providers process information according to their own terms, privacy policies, and security practices.
When NetMan communicates directly with a third-party service using credentials supplied by the user, BitanixSoft may not receive the information exchanged between the Software and that provider.
Users should review the privacy policies and terms of any third-party services they choose to use.
15. Data Retention
BitanixSoft retains contact, purchase, licensing, and support-related information for as long as reasonably necessary to:
Provide the requested service
Maintain appropriate business records
Meet legal, accounting, and tax requirements
Resolve disputes
Enforce applicable agreements
Protect against fraud or abuse
NetMan project files, local credentials, reports, backups, logs, exports, and temporary or recovery information stored on the user's system are generally controlled by the user rather than retained by BitanixSoft.
Users are responsible for establishing appropriate retention and deletion policies for locally stored and exported NetMan information.
16. Cookies and Website Analytics
The Site may use cookies or similar technologies for essential functionality, security, preferences, and general website analytics.
Depending on the technologies used on the Site, these tools may collect information such as browser or device information, approximate location derived from network information, pages visited, referring pages, and interaction information.
You may be able to control or restrict cookies through your browser settings.
Disabling certain cookies may affect Site functionality.
17. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information that BitanixSoft holds.
Bitanix NetMan also includes safeguards intended to reduce exposure of locally stored credentials and sensitive project information.
However, no software, network, transmission method, credential-storage mechanism, or data-storage system can be guaranteed to be completely secure.
Users are responsible for securing the computers, networks, credentials, project files, backups, exports, and third-party accounts they use with NetMan.
18. Your Privacy Rights
Depending on your location and applicable law, you may have rights concerning personal information that BitanixSoft holds about you, including rights to request access to, correction of, or deletion of certain personal information.
Canadian residents may have rights under applicable Canadian privacy legislation, including the Personal Information Protection and Electronic Documents Act (PIPEDA) where applicable.
Residents of the European Economic Area may have rights under the General Data Protection Regulation (GDPR) where applicable.
California residents may have rights under applicable California privacy law, including the California Consumer Privacy Act (CCPA) where applicable.
The availability and scope of these rights depend on the applicable law and circumstances.

19. Children's Privacy
The Site and Software are not directed at, and are not intended for use by, children under the age of 16.
We do not knowingly collect personal information from children through the Software.
If you believe that a child has provided personal information to us, please contact us.
20. International and Third-Party Processing
Third-party services selected or used in connection with the Site or Software may process information in jurisdictions outside your country or region.
For example, information submitted to a payment processor, AI provider, hosting provider, or vulnerability-intelligence provider may be processed according to that provider's infrastructure and privacy practices.
Where you choose to use optional third-party functionality within NetMan, you are responsible for determining whether that service is appropriate for your organization's legal, contractual, security, and data-governance requirements.
21. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to the Software, Site, business operations, third-party services, legal requirements, or privacy practices.
When we make changes, the "Last updated" date at the top of this Policy will be revised.
Material changes will be communicated where required by applicable law or where otherwise appropriate.
